Timekeeping
- Total Cost Centers
A Cost Center could be a department or location, they are customized for your company
- Profiles
Profiles are a set of details that govern how the system treats information
- Timesheets
Timesheet profiles are customized to track time information such as in/out punches or vacation or sick time
- Time-off request
Your employees will be able to request time off online, the profile determines what details will be required for them to choose
- Pay Calculations
Pay Calculations are the rules the system applies to the time information for calculating items such as overtime, holidays, etc.
- Pay Prep
This determines how the system treats items such as counters (which are the labels the system uses for “counting” time) as it translates the information from the timesheet into payroll information.
- Security
Security determines how much information is visible to different employees. For instance, a manager will be able to see more information than an employee.
- Rate Tables
A rate table can be used to assign a certain rate of pay to a group of employees or can be used individually.
- Holiday
Holiday tables control how the system views holidays for your employees such as which days are holidays, how many hours are paid for that holiday, etc.
- Manager Levels
This designation controls who can approve timesheets, time off requests, changes, etc.
- Workflows
A workflow are steps the system follows when given a task to accomplish.
- Time Off Requests
This workflow controls where the request will be sent when the employee submits a time off request, what happens if it is approved or rejected, finishing with who gets the notification of the result.
- Timesheet Change Requests
This workflow is similar to the one listed above as far as how it works but you get to decide who gets notified and who approves or rejects the request.
- Schedules
You have the ability to tell the system what days employees will be working and what hours. The system then can use this information to determine if someone is tardy or absent or a number of other details.
- Daily Rules
This is where you tell the system what hours and what days are scheduled.
- Work Schedules Profiles
You have the ability to determine a certain set schedule for a group of employees by assigning a profile such as Office Employees or Second Shift, etc.
- Pay Periods
Pay periods are the actual days included for pay dates, for example: July 1 to July 15th pay period will be paid on July 20th.
- Counters
These are labels for elements that the timesheets “count” toward certain payroll items such as Vacation or Holiday or Regular, etc.
- Time Off Categories
You may select the types of time offs for labeling the time an employee doesn’t work such as Vacation, Bereavement, Sick, etc.
- Reports
There are many ways to retrieve data from the system in the Reports areas where data is summarized or detailed depending upon your needs.
- Standard Time Keeping
There are 61 built in ready to use reports included in the system.
- Custom
Reports may also be customized for additional reporting needs.
Accruals Module
WFR Accruals module adds comprehensive accrual administration to Workforce Ready Time Keeper by automatically
- Consistent enforcement of policy
The accrual rules are built into the system for being consistently applied to employees.
- Configurable calculation methods & grants
The rules are able to be customized to calculate according to your company’s accrual benefit settings, in addition, settings can be put in place to determine how the accrual can be used.
- Accrual Profiles
Different profiles are able to be built such as part time accruals, full time accruals, hourly staff, salaried staff etc.
- Time-Off routing & approval workflow (requires Time Keeping)
Designs can be put into place on how the request flows through the system such as an employee submits a time off request, the manager approves it and it flows automatically to the timesheet.
- Time Off Requests workflows
Governs exactly how the request flows through the system.
- Automatic updates to schedule & timecard (requires Time Keeping)
When approved, the time off automatically updates the schedule and timecard.
- Visibility to projected balances
You can choose to have the system figure out projected (estimated) balances based upon a certain number of factors in the future.
- Automatic balance reduction (requires TimeKeeping or Payroll)
The system automatically deducts the approved hours from the employee’s balance so manual adjustments do not need to be made.
- View time-off calendars for groups (WFR Time Keeping is required)
You are able to see a display of employees who have time off in the next week, month or year.
- One-Time data load using customer-supplied data for current year in a standard RABco-supplied format
While in the Implementation Phase of your company being built to your specifications, the balances of employee accruals will be uploaded into the system.
- WFR accruals requires WFR Time Keeping
In order for the accruals to function correctly and automatically, the timekeeping module needs to be part of your company’s setup.

WFR HR core functionality deployment gets you started by establishing HR as the system of record for employees.

- New Hire Checklist Configuration
Automates the process of collecting forms from new employees
- I9
This form confirms an employee’s eligibility to be working in the United States and may be done online with appropriate documents electronically uploaded into the employee’s record.
- W4
The Federal tax withholding form can be completed online by the employee then is sent for manager approval electronically.
- Direct Deposit
Information may be collected to enter into the employee’s record for bank direct deposit of their pay statement. This process may be done by the employee or the manager/admin.
- Standard California HR Compliance Packet
The standard forms required for new hires in California are able to be uploaded and a sign off by the employee fulfills the employer obligation to provide the forms.
- Emergency Contact Designation and Setup
Employees are able to enter their own emergency contacts, designate their role and contact information.
- Employee Handbook & Electronic Acknowledgement Form
Your company’s handbook may be uploaded into the system and an electronic acknowledgement form in the system can be used to confirm receipt of the handbook.
- Security Profiles (Payroll Admin, Timesheet Manager, Employee)
Different levels of access to information can be determined by designing the correct security profile for different groups of employees.
- RABco Standard Reason Codes for Term and Comp Changes
Reasons for Termination and compensation changes are provided and can be utilized as part of the employee’s record for future reference.
- Customer will be trained on how to utilize each area below and is responsible for completing the setup each area

FEIN – Federal Employer Identification Number
- Pay Period Profiles
Pay periods are the actual days included for pay dates, for example: July 1 to July 15th pay period will be paid on July 20th.
- Parallel Payroll Tests
This is a “test” payroll where you process your payroll in your previous system and we process it in the new system to make sure the outcome is correct.
- Company Tax Setup (Jurisdictions)
Verification of tax settings internal to the system to correspond with your tax liabilities.
- Custom Exports/Reports – 2
If you need certain data to be exported or report generated that are not already existing in the system, they may be able to be designed for you.
- Company Deduction Types – up to 5 custom (17 pre-configured)
Deduction codes are items such as health insurance, life insurance, garnishments, retirement plan etc.
- Company Earning Types – up to 5 custom (16 pre-configured)
Earning codes are items such as regular, overtime, vacation, etc.
- Configure Default Banks up to 10
Banking information for the company is entered into the system for the processing of payrolls, invoices, etc.

These can be designated on the Employee’s record for reporting purposes.
- Payroll History up to 4 Quarter of Current Year
Employee payroll history will be entered into the system prior to the first live payroll with us so that year to date information is correct.

Payroll Configuration is the way your company’s information is designed within the system.
- Standard Dashboard Widgets
Dashboard widgets are visually boxed areas of information displaying things such as accrual balances, clock in/out buttons, quicklinks to pay statements, etc.
- Global Payroll Settings
These are the general settings that apply to all payrolls.
- Standard Notifications
Automatic emails or notices that are sent to employees, managers and/or admins for different functions such as payroll reminders, password changes, etc.
- GL Set Up
General Ledger accounts can be added to the system for reporting purposes.
- In-house manual check printing
If there is a need to print a manual check for someone in between payrolls, you have the choice to print it at your site or we can print it and send to you.
- Employee Imports
A spreadsheet that contains employee information in a certain format and is used to upload a batch of data into the system at once.
- Vendor Payments (ACH/Check)
If you have payments that need to be processed with payroll such as garnishments, levies, retirement plans we are able to set this up to automatically print a check or to be done via ACH (Automatic Clearing House).
